@taylorbrugna - I think is the simplest way to show money in when received and out when invoice is paid out.

The issue that we have run into doing that is sometimes there are more charges in a given month due to the billing dates.

Let's say the June mowing bill came the last week of the month and was paid in June also we then show double the normal cost in June and then we have explain why we had an increase in mowing. It would at first appear that there were extra mows that month. 

As I said i prefer this method it has just lead to explanations in the past and I think that may be why we tried the other way. Which is not working out for other reasons.

When making monthly property performance spreadsheets or P&L are you using:

1. The total CASH collected in the month from the 1st-31st of a month no matter what the money is for (past,present,future rent, etc.)  

2. OR do you use the total monies collected for that month's invoices even paid in a previous month?

Also on your accounts payables do you count them in the month they were invoiced for or paid in? 

Example a mowing bill for mowing in May invoiced the last day of the month and paid the 5th of June are you counting that as a May exspence as that's when you received the services on June since that when you paid it?

When putting together a debt service coverage spreadsheet how are you getting the number for your monthly income? 

1. The actual CASH collected in a given month let's say from Feb1-28th no matter what it's for (past,present, future rent) 

2. OR the income collected for Feb. rent invoices no matter when they were paid i.e. In Feb or prior. 

Then - on accounts payable do you count exspences by invoices you received that were FOR the month of Feb. or PAID in Feb. no matter what month they were for? 

Any input pertaining to this or proformas would be great - Thx

Oh I totally agree - If they are a problem tenant they have to go-girl and all. I just meant that if the only issue you have is that a guy is seen coming and going let the girl know he's there more than a "guest". He has to be screened and listed on the lease as "financially responsible" or "other tenant". If he's got a bad record he cant be there.

I use apppfolio. I love it. I think it does everything you have mentioned. I am owner managed, so I don't have the owner draws etc. The customer support is great! 

I just recently switched from Propertyware where the customer services was not good for us at all. That software just was not what we needed. So be sure to ask a lot of questions, and ask for product demos so you can see what you will be getting.
