I've heard conflicting thoughts on mysmartmove.  The biggest problem is you can only run information on what they put into the application and so they can skip or only fill out minimal information thereby you don't get a full background on them

NEVER take a deposit to hold anything!  Your property should remain available UNTIL you have a signed lease, and a certified check (or money order) for, at minimum, the Full Security Deposit, which becomes non-refundable in the event they back out before move in.

When you have people competing, it always comes down to the most qualified candidate.  All things being equal, then it's the lease that will start the soonest.  I have had tenants who wanted a Jan 1st start date execute for a Dec 15th lease so that they could ensure that they got it over the other Jan 1st Tenant.  That's more money in your pocket.

Great comments.  When you say never you don't take a personal check to do a background check so you instruct applicants to bring a certified check with them for the application fee to the open house if they are going to fill out the application in person?

We don't ask them any pre-qualification over the phone, we wait for the showing to do that. If they agree, we set a showing. We used Mysmartmove.com by Transunion. They give you Eviction, Criminal, Credit and if their pay is X amount higher than your rent fee.

If they don't meet our standards, we make a print out of their report (Just in case they want to contest our decision) then text them that they were declined.

For married couples, each one must make at least 2x the rent because people break up and move out all the time, you need to make sure your rent can still be paid by the person left behind.

Do you accept personal checks for the rental application fee?  Do you ever ask for a deposit to hold?  if so why or why not?  I've seen that people use it and others don't.

I'm getting close to having my first open house and had a few questions around Rental Applications and Deposit to hold.

Do you make each adult fill out an application? How much do you charge for a rental application? Do you charge per adult? Do you accept personal checks for the rental application fee? Do you give a receipt for each rental application fee?

If you have multiple people show up for an open house do you accept a holding deposit from more than one prospect at the open house? Do you accept the holding deposit during the open house even before you have processed the rental application or do you wait to process the application and only ask for a deposit to hold after they have passed your background screening?  How much do you take for a holding deposit?  Do you accept a personal check for the holding deposit?  Do you give a separate receipt for the deposit to hold or do you combine the receipt with the application fee and just itemize both the rental application fees and the deposit to hold?

Just wanted to get some feedback on some questions regarding screening.  I appreciate any thoughts you may have. 

When a prospective new tenant calls about a property I'm assuming you do a screening interview over the phone.  If the interview goes well do you send a pre-qualification form that has to be filled out before showing a unit after the phone screen?

Do you send the minimum criteria required to rent from you along with the pre-qualification form or do you wait to give that to the prospect at an open house once they fill out an application?

What do you use as a gross monthly income requirement 3x or 4x the rental amount?  Do you allow married couples combined income for this criteria?

What do you use as a minimum credit score that's required to rent from you?
