If you end up using them, they deduct the fee out of the invoice.

I wouldn't have responded to them, personally, since they didn't even send the invoice to you directly.

It allows them to make their money and then I simply invoice at the end of the month- so I'm not in charge of their money- they like that. #2 It allows each individual property to have it's own review- so if they do want to leave- they can keep their reviews in tact. 

I'm not sure if it's necessary, but I like to have all the invoices for all my maintenance and repairs.

I am an investor and a CPA with clients investors.I use Quickbooks to manage my investments and it works - so far :) it also has invoicing and payment automation, however, you need to add the extra expenses (a repair) and this will happen with any software. 

Maybe ask him for an itemized invoice so you can compare his costs to what you find them to be.

They know i live out of state and could practically make up phony invoices for work that never happened.

Because if you cannot verify that the number of hours on your invoice is justified, what's the point?
