great questions and I would like to hear other peoples input on this here is what we use for managing 1700+ rental units and selling 250+ turnkey properties here in Memphis TN

Finances - Quickbooks

Projects - Asana

CRM - Copper and Podio (investor fuse)

Contractors - Propertyware

Managing properties - Propertyware

We also use google drive to store all of our pictures of properties and other info. we take a lot of pictures before during and after the sale they have come in handy so many times.

Finances - Quickbooks Desktop Version (I don't like the Online version and it costs more money)

Asset Management - SmartSheet; it's like Excel on steroids (except for the formulas). I like it a lot better than BaseCamp.

I use it to keep track of individual notes, tasks, and KPIs. I set up multiple reports that give me an updated task list every day so that important events don't fall through the cracks. Once I list a task and date, it automatically feeds into my main task page. Then, I either have to complete the task or postpone it.

I have another page set up to keep track of payments from the different entities so when it comes time to update QB, it's easy.

Hello and welcome Michelle!  To keep organized I would recommend a software called Evernote or a similar system.  The only work beyond my comfortable distance, I would only recommend investing into a Turnkey property that is renovated and managed by an experienced company like Memphis Invest or Maverick Investors unless my business took me there quite regularly, or if I knew somebody there I knew and trusted to help me manage and maintain it, or or as a Partnership I could invest with in an apartment complex  who I trusted and who is under control.  That is one of the ways I could go if I invested somewhere that had too much travel expenses where I would not incur many travel expenses that I would have to have otherwise.

That way a Turnkey company or friend that lived there would typically have finance and contractor connections that are local. A Turnkey company would probably be use to keeping things under control and organized.  An individual helper could possibly help you keep organized depending on their skills.  The best way to go in this competitive market and economy it may pay off to learn about raising legal money for investors and how to form Partnerships where you can maintain control and purchase apartment complexes and be able to give your investors a good return.

You should add Basecamp for the initial sale process.  Another turnkey provider uses this as a communication platform and it worked great for my sales.  It has message boards and to do lists so every party knows who has the ball.  It's much better than trying to constantly dig through my inbox for emails and attachments.
