Keeping Track of Rental Property Info

Hello,

I have recently acquired a rental property that is being managed on my behalf but am trying to figure out how I can keep track of all the information besides simple expenses and rent payments.

What are other things worth keeping track of and how do you best go about that? I prefer to use Excel instead of downloading a separate program or having to enter all information on a website.

I would appreciate any thoughts regarding this!

You could use a system like TenantCloud to track everything. It's free for up to 75 rentals and very inexpensive to add online payments. It includes maintenance tracking, lease tracking, auto reminders to tenants, marketing, owner reports, and much more. Well worth investigating.

Things to track:

  • Tenant info
    # of occupants under 18
  • Communications
  • Charges and payments
  • Maintenance requests
  • # of keys or openers issued
  • Door codes
  • Contractors (if specific ones assigned to the unit)
  • Warranty info
  • Location of shutoffs for water, gas, electric
  • Air filter size, location
  • #, type, breed of pets
  • Items included in lease (storage shed, lawn mower, fridge, etc)
  • Items excluded from lease
  • Parking restrictions
  • HOA rules and regulations

That's a sample of things I track.
