Hi Maria,
It depends on the location and type of property.
If it's a family style single family home or multifamily unit, unfurnished, in non-core areas, the timing doesn't really matter as most likely your tenants a re locals who can relocate at any time regardless of the season.
If it's a condo rental in core/tourist areas of Miami, I'd say September would be better from our experience. February is going into off season so I wouldn't recommend unless you're priced below market value just to save on vacancy.

You have to work with a team that is investor-friendly and has experience working with out-of-country investors like yourself. That includes real estate agent, mortgage broker, title company/attorney etc. Plus they have to be trust-worthy and with trackable experience. Consultations with a local investor-friendly agent and lender as well as attorney-owned title company would be very beneficial in this case.

Regarding swapping places, this is a very specific and unique scenario given the location and timeframe. I think it's just easier to rent out the place in Pasadena and rent a place in NYC. And also less risk since the transactions would be pretty straight forward.

I live in a luxury building in Manhattan. My neighbor invited over a few friends after their dinner at a restaurant to his condo to chill and network. One of these "friends" never left the condo and lived there for 5 months payment free while the neighbor was paying all dues on time to avoid lawsuit against him from the association and management. The squatter was out 5 months later due to numerous assault cases towards the staff and my neighbor. Assault cases helped my neighbor get the condo back... not the eviction case. It can happen to any of us unfortunately!

With potential clients whether sellers/buyers/tenants/landlords, I prefer having a phone or in-person convo as well. Be aware, there are a lot of scammers inquiring about listings and submitting fake docs. We receive 2-3 scam requests with fake POFs and PALs per week. So yes, have a conversation and trust your gut feeling.
I agree on having OH by appointment only for safety purposes.
