@Mark Ferguson, this is definitely a landlord issue and why we charge a profit on rent; to cover these types of expenses.
We had a water heater leak and warped out floors, similar situation. We had to cover the expenses.

@Vincent Plant, I recently started to use Burbz. I actually met their founder here on BiggerPockets @Kenny Dahill. Super nice guy! I had a few questions getting started and he graciously took time out of his day to help me!

Texting typically works best for me. We only have a few properties so it isn't too complicated for us. Anything that is urgent we always make sure to take a screenshot for records.

A lot of tourist markets are starting to block STR. San Diego for example has certain areas that don't allow AirBNB. Our AirBNB even had a noise monitor that activated after 10pm!

I agree with @Kenny Dahill, different regions can have unique weather and utility expenses. For example, midwest winters and paying for the heat.
We always have our tenants pay for the utilities. Sometimes we have to keep the utilities in our names when it's vacant but we transfer the account immediately to the new tenants.

My biggest concern: I like to get my listings up real early so I can coordinate an open house. It's not uncommon for me to list my rentals 1-2 months before vacancy. I'm not sure I want to spend $80-100 for that, although it beats vacancy.

There are way worse ways to end a tenant relationship when they don't pay! If they're willing to move out early, that's a win-win. It never hurts to treat people with kindness during these situations either, hopefully she returns the kindness.
