Having more than 7 years of outsourcing expertise specifically in property management, I'll try to explain quickly two ways. But the short story is that property management va's are definitely helpful/.
First option is to hire a virtual assistant and train them, not sure if you guys have handbooks for new hires. The VA would need training on ins and outs, policies on your leasing, maintenance and all other items in order to properly handle, communicate with your tenants and prospect tenants. It would take more of your time and efforts when it comes to training.
Second option is to go through a Property Management Virtual Assistants company, they would have trained VA's with supervision and experience. It would save you time and money in training and supervising the VA. Best part is that they would have VA's with different experiences and budget based off how long the VA has been doing property management.

4. Word of mouth is a special sauce in some cases. So make sure your circle knows what you are doing and planning on to scale fast.
5. Answer Calls in a timely manner. As per research, only 2 out of 10 property management companies answer calls in a timely manner. I personally have worked with investors in choosing a property management company. And it sucks, they are bad as answering calls.
6. As you build your portfolio, make sure you scale as a team. If you try to do all yourself, your growth rate would suck.

In this competition of property management, it is getting more tougher to compete in terms of cost and what you are providing. Generally VA's are proven to be helpful in both aspects, cost and providing more to clients and residents. An example is saving on cost and having more people work for you. Examples can be after hour support, 2 VA's to focus on different areas and produce more in the same time period at a fraction of cost.
Property management companies struggle with the following:
Out of hours maintenance and maintenance coordination.
Communicating properly and more with prospective tenant leads.
Answering too many calls if a bigger portfolio.
Following up on delinquents.
Any tasks that managers don't like doing.
Every other property management company I talk to is short of staff.
Local hire always take time in getting trained. While on the other hand, you can hire an already trained property management VA as well as an experienced one too from companies like Answer Tenant.
Some companies even offer back up VA's, so if your VA is sick or has an emergency. They would have the back up VA work for you.

Over all Property Management VA's are helpful for sure.
Sometimes you get exceptional VA's who change your property management game.

Hi Adam, 
Buildium and Appfolio only allow text messages and not phone calls.
Both are good for text, I suggest you should keep text with in Appfolio for the sake of record.
Ring Central is almost fine for phone calls, transfers and conferencing.
It really depends what you are trying to do? As why don't you like the texting with in Appfolio.

I have used both Ring Central and Nextiva and I have found Ring Central better.
If you aim on not using texting via Appfolio, and want to keep text and calls in one place. Open phone is another option.

We work with property management companies. As per my experience. I would suggest as below
Doors 50 or less. Use google voice its free.
More the doors, if you keep texts with in Appfolio. Ring Central is a good option.
if you don't want to use texting in Appfolio. Open phone is a good option.

Still it matters what kind of features you are after.

@Brendon Bourne A lot of questions come up.
Were those property managers experienced?
Were they provided with proper resources?  (Extra Staff Needed, assistant, showing agent, leasing professional, maintenance coordinator) If not, were they good in all areas of the property management?
Had they ever worked in a facility where they need to be good in the entire process of property management?
How good are you guys with all that since you guys were overseeing the managers.
I would advise to work with someone who has been through multiple property management business models.
Your staff needs to be a combination of skills. Not just a property manager.

Hi @Karen Casey,
It really depends if that is the only property you got or you have more. There are tons of software's out there, for example Appfolio, RentRedi, Buildium, Door loop and much more.
They might not be cost effective if that is the only property, plus you would have a learning curve and would need help again.

So if that is the only property, I would recommend using someone who already has those software's and they can take care of those on your behalf.
There is always a management fee, screening fee by software and leasing fee from the management, you can try to search someone that suits you.

Hey @Jason Chung,

A lot of landlords and property management companies use VA's for the day to day task. It is usually a bit complicated when it comes to renting room wise. I have noticed conflicts between roommates. Make sure the VA understands the ideology of roommates and renting rooms separately.
Most of the landlords use air table for this purpose as it makes managing rooms easy.
