I am sorry that you are having to deal with this! This is the reason people have a bad image of property managers and landlords.

What area is the rental in?

I would meet with another local property manager, and have them deal with the transition.

We have all of our agents go through Allied online and then they take the Real Estate Trainers Crash Course the weekend before their test. It is a great way to refresh all of the knowledge on the test weekend

Sadly a lot of the stuff on the test is not knowledge that you use day to day

As discussed, there are few if any detached garages in SCV. 

We have been working on a couple of ADUs there for clients and they have not been easy to get done at all! One of them is not moving forward anymore, because there was so much confusion in the planning department there about the new regulations and how are they enforcing them

We help clients with these deals all the time. A great bet as mentioned above would be going with a house and an ADU. We have done many 2-4 units with 3.5% down, with a client living in one unit. With your score it might be better to look into conventional financing, save some money on the rate.

The courthouse would be your first stop, and the least expensive. 

If you want to get easier and faster access to the data, US Prodate leads (mentioned above), Probate Data, and a few other companies have monthly services that I use

I agree, approaching the family and relatives is a delicate subject.

I would do more research, go to the city/county and see if you can pull probate records and find out who the executor is. We then mail the executor some resources that help them navigate the process, as it is a very stressful one. I saw my mom go through this process a couple of times when I was younger, and realized that she had no resources to help her. After those mailings we then reach out, and it is an easier conversation as you have already helped them and provided value to them, instead of just calling them to say sorry for their loss when they don't even know you.

I agree with everyone above!

I have used many software systems, each one has some good and bad

I am currently using Buildium for my small personal portfolio, and AppFolio for our larger managed portfolio.

Anything over 50 units I would automatically go to AppFolio. I have many friends that have made the switch recently and are very happy

I completely agree with giving them a notice about the ability to break her current lease and sign a new lease for the other unit at the higher rental rate that it commands as a rehabbed unit

The best software I have found for small portfolios is Buildium. It will have everything in one place for you. If you need a free option Tenantcloud is a good option
