FWIW - Citrix (vendor of Podio) just released a free Podio App Pack for Real Estate Investment. Note that it doesn't work with Podio Free, though. It requires Podio Premium because the App Pack includes a bunch of automation flows.

I don't think Call Porter is less expensive than Patlive, however Call Porter is completely focused on Real Estate Investment so the agents are very knowledgeable and can do a lot more than just answer the calls and take messages.

Lob.com is a great system for automated letters, postcard, checks, etc. Lob can be integrated with a bunch of different CRM and PM systems via Zapier (or the Lob API). I've built a lot of systems based on Lob and Podio (and 1 using Lob and Airtable). The applications range from one-off event-driven letters (e.g. triggered on a specific action in the CRM or PM to send a letter/postcard) to high-volume direct mail on the order of 5-10k letters and postcards per month.

Lob.com offers “proof of mailing” as part of its service. Not sure if that is what you need or not. Lob can also track returns to sender and address deliverability info.

I'm a software developer and have worked with a bunch of REI companies that use Carrot. As a developer, I really love how easy it is to integrate Carrot with other systems (e.g. Podio, Zapier). Because of this, Carrot enables the entire business to be automated more effectively.
I can't speak about Real Geeks. It might also be great, but I just haven't used it.
You can have one Contacts app that is referenced from apps in other workspaces (so long as those workspaces are within the same Podio organization)
Yes. In your communications app you would have a relationship field that points to the Contacts app. You would also want to set up the reference layout on the Contacts app so that you can see the specific fields of interest for the contact while you are in the Communications app.

if that's all you need, set up a Podio account (Free for up to 5 users), create a "Contacts" app with fields you need to capture the info you mention, and use Tasks with reminders for making sure you don't lose track of anything.
