If you want a CRM/lead management system that automatically organizes all of this communication in one place, I'd suggest Investorfuse, Follow-up Boss, or Podio.  Investorfuse or Follow-up Boss are purely CRM/Lead management and might be a simpler solution, whereas Podio is much more comprehensive and complex and can be used for a lot more business processes and data management.

You can use Globiflow (included with the Podio Premium tier) in conjunction with your email server to send emails.

Globiflow is also commonly used to create & send PDFs (for offers or other documents).  Here's how to create a PDF:

Podio is free (for up to 5 users) and can do task and project management quite nicely. With a paid subscription you can unlock automations such as preset task lists. Podio is much more than this though, and it could be more than you're seeking. REI Automation Squad has produced an excellent set of videos that are very useful:

If you're *just* looking for a task list system, there are tons of options out their including Todoist, Wonderlist, Trello, etc.

+1 for Podio.  You can start to use it for free for up to 5 users, and then you can add a paying subscription if/when you need the additional workflow automation and other advanced features.

There are a few pre-built CRM packs available for Podio to help you get started.  Here's one example:

Podio is also the basis for a lot of REI software solutions on the market, such as Investorfuse and SellerLeadsCRM.

Zoho offers a pretty solid CRM solution as well.

You can always start with Podio free (for up to 5 users) as a "spreadsheet on steroids" that is already much more flexible and customizable than just about any other CRM out there.  You can even import your existing data into Podio apps using the Excel import feature.  

To build some simple apps in Podio really isn't much harder than building out a spreadsheet.  Once your needs get more complex (i.e. your business is generating the revenue to fund investments in software) you can consider contracting a Podio specialist to build out the automations and more complex functionality you need to scale even further.

Having built dozens of Podio systems for a variety of companies (including investor relations CRMs), I can attest that your investment in Podio (whether in your time, or hiring someone) will be well-spent.

You might consider using Podio (free for up to 5 users), and installing the free Property Management app pack they offer: https://podio.com/market/packs/116519-property-management

Podio is great to start with and is free for basic use with up to 5 users.  It also grows with you quite nicely over time as well, as your business expands and you need more features, automation, and integration with other systems for mailing, texting, eSignature, etc.

Hi Greg,

Any Podio app can have a webform enabled for it.  The webform includes the code that you can embed on your website, no matter what tech you use (Wordpress and Wix both work well...I'm sure shopify works also, but I don't know first hand experience).

For REI websites, I really like Investor Carrot because their forms capture addresses more accurately than Podio webforms. Integrating Investorcarrot with Podio is pretty easily done, but not obvious because you'll actually use the "Zapier" integration. You don't actually have to use Zapier though. You can just create a webhook-triggered flow in Globiflow (Podio's workflow engine) and plug that flow's URL into the Zapier integration setting within Investor Carrot. The webhook flow can create records in your Seller Leads app.

I've done something pretty similar to this with Podio and Twilio.  The text responses come back into the Podio record for that cash buyer, you get notified of that response, and then can engage in a two-way text conversation from within the Podio record.

As far as delays, I've never seen any with Twilio; it's a rock solid-texting platform.

+1 for InvestorCarrot.  From a software developer's perspective, it's a solid tool that is easy to integrate with CRM and Lead Management systems (e.g. Podio).
