Step 1) Follow the lease/law move out requirements and collect the 2 months penalty for early termination.    Congratulate her on her future plans.   

Step 2) Market the property for lease.   Hopefully her buddy gets to move in.

Agree with @Jake Thomas  The current management agreement is between the current owner and property manager.   It will terminate after a successful closing unless there is verbiage in the purchase and sale agreement that says differently and that you agreed to. .....I'm not a lawyer:)

Mishandling trust funds can be pretty serious. Where there is smoke, there is fire.   I'd ask the broker/owner to make this right.  Trust accounting is one of the most important responsibilities a broker has.

Appfolio and Buildium are good programs for you to investigate that include screening.  Starting with one of these now is much easier than trying to transition down the road when you out grow your current system.....been there done that:)

Jeff Zulauf with Fidelity Bank in Duluth mentioned he could do smaller loans during a refi for me last year.    


Over accommodating up front may set the wrong expectations for the remainder of the lease.  Be nice but not too nice:)

Does the lease state that the amount of the security deposit is $3000?

10% tends to be the number professional property management companies work from regardless of how they split it up and present it to you.  I would use that number for your spread sheet.
