From my experience working in and partnering with a VA agency that specializes in real estate, the best way to find a reliable VA provider is through referrals. If someone you know has worked with a VA agency and achieved solid results, that's usually a great place to start.

Another key tip: interview multiple agencies before making a decision. Ask about their recruitment process, training, reporting systems, and their experience in real estate — specifically wholesaling or acquisitions if that’s your niche.

Also, I’d strongly recommend starting small. Don’t jump in with a full team right away. Start with 1 or 2 VAs for about a month, assess their performance, and if you see good results, then you can scale up. If not, it’s better to move on early than waste time and resources.

 How many leads do you generate per call? Conversion rate?

What kind of success have your clients had? How long on average do your clients stay with you? 

I've been thinking about this route myself. I don't have the time to cold call but I also don't want some person who barely speaks English spewing nonsense and ruining credibility right off the bat. 

Direct mail seems to still be a thing too - seems like every property I buy gets spammed shortly thereafter with flyers from people who will buy "as-is" 

Great questions—and totally understand your concerns.

On average, a full-time VA working 8 hours a day generates around 2 qualified leads per day. Of course, this can vary—some days you might get 3-4 solid leads, others maybe 1 or even none, depending on data quality and market response. But 2/day is a realistic, consistent average for leads that meet the main qualification pillars (motivation, timeline, condition, and price).

We’ve had clients close multiple deals with us—some use their own acquisition teams to take leads to the finish line, while others rely on our full-service acquisition team to close deals from A to Z. Either way, the goal is to make sure you’re getting seller conversations that actually have potential—not just contact numbers.

As for English fluency—this is non-negotiable for us. One of our top hiring filters is excellent spoken English with clear, neutral accents. We know how damaging a poor first impression can be, and we’re committed to protecting your brand’s credibility.

all counties and how often do you update records. Do you proide daily, weekly or monthly data?

It depends on how many agent is working on the data for how many hours.. and it depends on how many records we buy, sometimes it monthly, some times 2 times at month. Some times weekly. So it depends.

1. Not Realistic – AI lacks the human touch needed for real estate cold calling. Sellers respond better to real conversations where the caller can build rapport, handle objections dynamically, and adjust based on tone and emotions—something AI still struggles with.

2. High System Costs – Setting up and maintaining an AI-powered cold calling system requires advanced software, integrations, and constant updates, which can be more expensive than hiring trained human callers.

3. Performance Issues – AI isn’t as effective when it comes to handling objections naturally, navigating complex conversations, or making judgment calls. This often results in lower-quality leads and missed opportunities.

I completely agree with your approach. I always recommend starting small—testing with one VA for a month is a smart strategy. For example, you could run 2 weeks using your own data and another 2 weeks with the agency's data. That trial period lets you see which method works best before scaling up.

Moreover, the consistency and success of any agency largely depend on how well you follow up with your project manager and monitor the KPIs. The point is, you’re there to track the numbers, not to micromanage individual VAs. The real value of an agency should be in reducing your workload, not adding extra oversight.

On a related note, having worked in this field and provided these services myself, I can confirm that the pricing you mentioned for cold callers is too high. That rate might be justified if you were hiring a closer or someone in an acquisition role, but for cold calling alone, it’s definitely over the top.
